How do I send a report via email?

Learn how to deliver the perfect report straight to your inbox, exactly when you need it.

With Gather Analytics, you can have the right data delivered right to your inbox right when you need it!


What are some example reports I can send?

How do I send a report?

Simply click the button on the top-right of any report to send your report via email. You will then see a screen showing a list of any existing scheduled sends. From here you can edit an existing schedule or click to create a new one.


What options do I have when sending a report?

When building your send schedule, you have four main questions to answer. These four questions allow you to build a fully customizable send schedule that meets your requirements precisely:

1️⃣ Which funeral home(s) will be included?

2️⃣ Which date range will be used?

3️⃣ Who will receive the report?

4️⃣ How often do I want to send the report?


1️⃣ Selecting the funeral home(s)

The funeral home(s) initially selected here will be based on the funeral home(s) that were most recently selected in the actual report but can be adjusted for each scheduled send. This allows you to create multiple scheduled sends for different groups of people that need different data.

To keep your data secure, team members will only be able to select funeral homes to which they have proper access. You can click here to learn more about data security.


2️⃣ Selecting the date range

The date range will default to what was most recently selected in the actual report but can also be adjusted for each scheduled send. Using a dynamic date range, such as "Last Month", allows the report to automatically update each time it is sent so that you always receive the correct data.

3️⃣ Selecting the recipients

You have two different options when selecting who will receive this report.

  • Send to Team

    • This option allows you to select from team members invited to Gather.

    • The report will be sent to each team member's current Gather email.

    • Team members can only be selected if they have Data Source access at ALL of the funeral home locations selected.

    • We recommend this approach as the more secure option.

  • Send to Email

    • This option allows you to send a report directly to any email.

    • This isn't tied to a specific team member account in Gather.

    • Any email can be listed here so you will want to ensure that you use caution to ensure you are only sending to trusted recipients.


4️⃣ Selecting the frequency

As the last configuration option, you can specify from among four choices for how often to send the report:

  • Send Now will send the email as soon as you click the "Send Report Now" button.

  • Daily allows you to select a time.

  • Weekly allows you to select one or more days of the week and a time.

  • Monthly allows to select from three options:

    • Every Month allows you to select a day of the month and a time.

    • At the Start of Every Quarter allows you to select a time and will be sent on the first day of each quarter (January 1st, March 1st, July 1st, October 1st).

    • On Specific Months allows you to select one or more months of the year, a day of the month, and a time.

Once you make your selection, you will notice that we provide a sample of the next few sends so that you can verify that you have created the desired frequency:


What does the email look like?

The subject line for the email will start with "New Report" and will look like this:

A csv file will be attached to the email which you can open in Microsoft Excel or Google Sheets.


If a team member is deleted, will they still receive the email?

Nope! If a team member is deleted from your Funeral Home in Gather the scheduled report will no longer send to their inbox.


Can someone else edit my scheduled sends?

No, you can only edit the schedules that you created. You can contact the schedule owner or your Gather Account Manager who can help make edits. This helps ensure that your scheduled reports are not edited inadvertently by someone else.


Is the report sent at the exact time of the schedule?

The report gets kicked off at the time you specified when you built the scheduled send, but it will take extra time to process and send, which may cause a slight delay. This delay can vary based on several factors. If you are seeing a delay of more than a few minutes, please let us know. You can always adjust the send time back slightly if you need the report by a specific time.


What timezone is used when selecting the time?
