How do date ranges work in Gather Analytics?

This article will help make sure you are pulling the correct data into your custom reports.

One of the most important aspects of building custom reports is making sure you have the right set of data in your report, which starts by ensuring you use:

  1. The correct date range

  2. The correct date type

With Gather Analytics, we've made it easy to get the exact data you need in just a few clicks. Let's show you how it works!


How do I adjust the date range?

The date selector popup shown above can be accessed by clicking the date button at the top-middle of any report.

Dynamic Date Ranges

There are 16 pre-built dynamic date ranges that make it easy to quickly select the date range that makes the most sense for your data.

Helpful Tip: You can hover over each of these dynamic date ranges in Gather to see the exact definition for each dynamic date range.

What do you mean by dynamic?

A dynamic date range means that it updates each time you access the report. For example, when you select "Last 28 Days", the report data will continually update to reflect the most recent 28 days. You should use the Fixed Date Range option if you want to lock in a specific date range that won't change.

Fixed Date Range

To select a date range that doesn't change as time passes, click the button shown below. This option will pull up a calendar where you can select a specific Start Date and End Date, giving you granular control of the date shown in your report.


How do I use a different Date Type for my report?

β›” Problem: Let's imagine that someone died last month, their pre-need case was created in Gather last year, the case was converted to at-need this month, and a payment was made next month. In which month will this case show up if you want to run a collections report (or any other type of report)?

βœ… Solution: Adjustable Date Types!

Gather Analytics gives you the flexibility to control what Date Type is used when running each report. This is a powerful feature that ensures the right cases are showing in each report, giving you additional confidence in your data. You can select the Date Type that makes the most sense for your exact needs.

Each Data Source will include the following helpful Date Types:

  • Case Death Date: Safest way to filter by date of death. If no death date, the date the case was first created in Gather is used. If no death date AND the Case Type has been converted to a new Case Type (e.g., Pre-Need to At-Need) then the most recent conversion date is used instead.

  • Case Death Date (Simple):The date of death as specified in the case vitals. IMPORTANT: This field does NOT account for missing death dates or converted pre-needs, which could cause incompleted data. Consider using the more robust Case Death Date field instead.

  • Case Created On: The date the case was first created in Gather UNLESS the Case Type has been converted to a new Case Type (e.g., Pre-Need to At-Need) then the most recent conversion date is used instead. This field includes the time if available, which is visible on hover and in the download. Timezone is driven by the funeral home location timezone.

  • Case Created On (Simple): The date the case was first created in Gather. IMPORTANT: If a case was converted to a different Case Type (e.g., Pre-Need to At-Need) this will show the date the case was first created and NOT the date of the conversion, which could cause incompleted data for converted pre-needs. Consider using the more robust Case Created On field instead.

Each Data Source is also smart enough to include additional Date Types that are relevant to the Data Source. For example:

  • The Case Vitals Data Source includes a "DC Last Updated On" Date Type

  • The Task Activity Data Source includes a "Task Assigned On" Date Type

  • The Payments Data Source includes a "Payment Created Date" Date Type

  • etc.


Can I set defaults for my custom reports?

Yep, 100%. When creating a custom report, you can set a default Date Range and Date Type. This helps ensure that your report always starts using the logic you want. These defaults can also be adjusted at any time.


Can I change the date logic when emailing a report?

Yes. We know that there are times you may want to use a different date range when emailing a report to a specific group of people so we made it possible to adjust the date logic with each specific send. As you go through the flow of emailing a report, you will be given the option to adjust the default date logic as shown below.
