How do I filter data in a report?

Learn how to refine the data in your reports to see exactly what you need.

Gather Analytics was designed to help you find the exact data you need as quickly as possible. In addition to building a custom report, you can fully-customize any existing report and save it for future use. Let's take a look!


Top-Level Filters

There are two filters that determine what data is shown in the data table. These two top-level filters determine which rows are returned in the data grid.


1️⃣ Select Your Funeral Home(s)

From the top of every report in Gather Analytics, you can select any combination of your funeral home locations and the data will instantly update. This allows you to understand your data across all locations in just a few clicks.

🧠 The funeral home(s) you select will be remembered as you navigate to different reports, allowing you to effortlessly see the same data across different reports.

For a team member to access a funeral home location here, they must:

  • Be invited to the funeral home location

  • Have user-level access to the Data Source upon which the report is based

2️⃣ Select Your Date Range

At the top of each report, you can also quickly select the Date Type and Date Range and the data will update instantly.

🧠 When creating custom reports, you can specify a default date range so that each report maintains the desired initial date range as you navigate between reports.


Table-Level Filters

Once you get your data back based on the two filters above, you can then filter the data by any combination of the columns in the report to further refine your data to exactly what you want to see. Here is a quick screenshot that highlights how to work with filters:

There are two ways to access the filter functionality (these numbers correspond to the blue numbers in the screenshot above):

1️⃣ You can click the "Filters" button on the top-left of each report.

  • This button will have an orange indicator button letting you know how many filters are currently active on the report.

  • You can also hover over this button to get a quick tooltip of the active filters.

2️⃣ You can also apply a filter instantly by typing or selecting in each column's header. For example, if you know their name included "John", you could quickly filter as shown below:

  • You can also change the type of operator used by clicking on the filter icon on the right side of each column header.

You can then edit multiple aspects of the filtering functionality to drill in on the precise data you are looking for:

3️⃣ Multiple filters can be strung together using "And" or "Or".

4️⃣ You can add as many filters as needed.

5️⃣ Each column can have a different operator applied. We made the operators specific to the field type. For example a date column, a value column, and a text column will all have different ways they can be filtered:

  • Some examples of operators include: is, is not, is any of, contains, is after, is before, is empty, starts with, etc.

6️⃣ You can even select multiple values for a given column. So in this example, you can filter your table to include just your At-Need and Trade cases.

As you apply the filters to your data, the number of rows in the table will automatically adjust for you. On the bottom-right of the table, you will be able to see a current count of how many rows remain after your filters have been applied.


How do I save my changes?

To save you time, we've made it easy to save your changes. Once any change has been to a report, it will highlight with an orange border. Simply click the orange button on the top-right of the report and you will be given a summary of your changes and a few different options on how you want to save your changes.

You can then access your custom report at any time in the future with just a single click.
