Getting Started

To activate automatic case numbering, chat with us! We'll help you set up a configuration that fits your needs. Gather case numbering is very flexible and can be configured to just about any format.

How It Works

Case numbers will automatically increment throughout the month or year.

Customization Options:

  • Funeral Homes Selection: Choose whether the sequence spans across your entire group of funeral homes or if each funeral home has an independent sequence.

  • Sequencing Format: Select the format for case numbering, including options for months, years, and case types. You can decide if different case types should have unique sequences and whether the sequence resets at the beginning of the year, month, or never. Additionally, you can opt for digit padding (e.g., “0001” vs. “1”) and set the starting position for the sequence and its reset point.

Adjustments and Flexibility:

  • Format Changes: Modify the format, adjust sequencing, or stop the sequencing anytime.

  • Unique Numbers: Duplicate numbers across the span are not allowed. Our system ensures each case number is unique. If you attempt to use an already assigned number, it will prevent duplication.

  • Deleted Cases: If a case is deleted, its number remains assigned and won't be reused.

    • Example: Creating cases 12-PRENEED, 13-PRENEED, 14-PRENEED, and then deleting 14-PRENEED means the next pre-need case will be 15-PRENEED. You cannot reuse 14-PRENEED. This rule also applies to non-case type sequencing.

  • Converted Cases: If you convert a case to test, its number remains assigned and won't be reused.

    • Example: Creating cases 12-PRENEED, 13-PRENEED, 14-PRENEED, and converting 14-PRENEED to test means the next pre-need case will be 15-PRENEED. This rule also applies to non-case type sequencing.

  • Editing Case Numbers: If you edit a case number to jump ahead in the sequence, the skipped position remains unfilled.

    • Example: Changing case 14 to 18 means the next cases will be 15, 16, 17, 19, with 14 remaining unfilled and unreusable.

Time-Specific Components:

  • Time Zone Considerations: The funeral home’s time zone is used for all time-specific components, regardless of the time zones of other funeral homes in the sequence.

  • Current Date Usage: Dates for YYYY, MM, and other time-based parts are derived from the current time in the funeral home's time zone.

Using "NEXT" for Sequential Numbers:

  • To use the next number in the sequence when editing a case number, set the case number to “NEXT,” and it will automatically use the next available number.
