Here are a few helpful hints and FAQs related to the Tracking Page, Tracking Steps, and Tracking Data.


What if I need to adjust a Step on this case?

Not every case and not every family’s wishes are identical, so we made it easy to make adjustments to the WorkFlow on a case-by-case basis. Simply click the pencil icon to adjust whatever you need, including the order of any pending Steps.

We’re getting closer to the WorkFlow module where you can customize Steps across all cases at your funeral home. For now, know it’s an option to edit case-by-case.


Can I just go in at the end of the day and record all the Steps I have completed?

KeepTrack™ was designed to be used throughout the day in real-time so track each Step as you complete them. There are a couple of reasons for this approach:

  • Recording right away increases the accuracy of the tracking.

  • KeepTrack™ was meant to not only record accurate data but also to enforce accurate actions. Some actions are not reversible. If you wait until the end of the day to track the day’s Steps, you may miss a prerequisite.

  • You always have an up-to-the-second record of all activity and know the correct location of a decedent.

  • You increase personal accountability by requiring immediate tracking.

  • You increase your personal protection by following an established, real-time procedure.


How long will you maintain a history of the Steps?

We store all information continually unless otherwise directed by you. We have multiple backups to ensure your data remains safe and secure. We also preserve all files and photos you’ve uploaded for each Step, like fingerprints or belonging photos. This way, if a family member calls you in a year or five and asks about their loved one’s ring, you can pull up that Step and have an exact record of what was done with it, when it was done, and by whom.


Can someone not at my funeral home view my tracking data?

No. In order to view tracking data, you must be invited into the funeral home. You can view everyone who has access to your funeral home via the “My Team” page which can be accessed via the left sidebar. You can even limit your team’s permissions as well, as in the case of third-party removal staff.


Can Steps be completed on behalf of another team member?

This is up to you. This is a configuration setting on the “Who Performed this Step” component which can be individually adjusted per Step. If you want to make it so the person completing the cremation Step MUST be the person marking it complete in Gather, you can do so. And Alternatively, if you want to allow the Obtain Fingerprint Step to be marked complete by someone other than the person who actually completed the Step, you are welcome to do so.

However, for safety and security, we recommend that the person completing the Step be the same person required to mark it complete in Gather.
