Here are a few more things to keep in mind as you work with your WhiteBoard.


When does a case show up on my Whiteboard?

Once a case is assigned a KeepTrack™ card as described in the initialize flow, it will show up on your Whiteboard.

All cases (regardless of if they have a KeepTrack™ assigned) will show up on your Dashboard.


When does a case disappear from my Whiteboard?

Once a case has been finalized, it will no longer appear on your Whiteboard. For cremation, this is typically once the urn has been returned to the family. For burial, this is typically once the body has been buried.


Once a case is finalized, will it still display a location in Gather?

Yes! Even though the case is no longer on the Whiteboard, we will still continue showing the last known location for each case on its Case Card. This means that whatever location you specify as part of the finalization step, will be the location showing in Gather for that decedent in perpetuity. So, we recommend the following:

  • When finalizing a burial, specify “Cemetery” as the last location

  • When finalizing a cremation, specify “Returned to Family” or “Cemetery” as the last location:

    • By default, we hide the “Returned to Family” location from the Whiteboard. This is because there will typically never be any cases in this location since the only time you will select this location is as part of a finalize step, which will simultaneously hide the case from the Whiteboard.


Can I see how long someone has been in a location?

Absolutely! One handy feature we added was the ability to see how long a decedent has been in each location. You will see this displayed throughout the Gather platform. Simply hover over the displayed time to see more details about the duration.

Can I set a capacity limit on a location?

Yes. Each time you see a little location square, you will notice there is a number in the top-left that indicates how many decedents are currently at that location. You can hover over this number to see capacity details as shown below:


How many locations can I have on the Whiteboard?

It is completely up to you!

Although, we don’t recommend creating multiple locations for third-party locations, like cemeteries. Rather than create a separate location in Gather for each cemetery you work with, we recommend creating a single, general Cemetery location in Gather. Then you can use the notes to record the specific cemetery for each case. This helps keep your Whiteboard more readable.
