It is important for you to be able to quickly find old cases, informants, or helpers. And it is even more important to find them from any device. Let's take a look at how easy we've made it to search in Gather.
π How do I search for things in Gather?
1οΈβ£ From the top-right of your DashBoard
2οΈβ£ From the bottom-right β button (accessible anywhere)
3οΈβ£ From the bottom row of your calendar menu (accessible anywhere)
4οΈβ£ Using a keyboard shortcut
From a Mac, press Command + Shift + O (that is the letter O as in "Oh my goodness, Gather is outstanding")
From a PC, press Control + Shift + O
π΅οΈββοΈ What things can I search for?
Simply type what you are looking for in the search bar and we will return results across these three main categories:
Cases: This includes all case types (Pre-need, At-need, Trade).
Can be searched by First Name, Last Name, and Case Number
Includes any cases that were imported from your old software provider
People: These are all family, friends, and informants that were added to any case, whether invited directly into Gather or not.
Can be searched by First Name and Last Name
Includes any deceased helpers
Rolodex Entries: These can help you keep track of important details about various organizations that you work with such as:
Cemetery
Church
Competitor
Crematory
Florist
Government Agency
Hospital
Nursing Home
Supplier
Veterinary Clinic
Other
Can I search across multiple funeral homes?
For multi-location funeral homes, the search results will automatically include results from any funeral home to which you have been invited. The search results will indicate the funeral home to which the record belongs.
What do the search results look like?
The search results will include any matching entries across the three main categories described above: Cases, People, and Rolodex. The following screenshot shows what these three different categories look like in the search results. Notice the different icons.
When you click on each result, you will see additional details and actions as shown below:
Helpful Tip: You can click on the four circle icons on any person to quickly:
π Call them
π¬ Text them
βοΈ Email them
π Navigate directly to their address via Google Maps
Here is what a Rolodex search result looks like. Notice the ability to add notes and upload documents.
How do I avoid creating duplicate cases?
When creating a new case, we will automatically perform a comprehensive search and alert you if we find any similar cases already in the system as shown below. This is helpful for finding old pre-need cases as well as preventing two employees from entering the same case.
This will also search across all funeral home locations to which you access. If the case we found is not in fact a duplicate, you can quickly proceed with creating the new case.
π How do we search?
Gather will automatically check all your cases in all your locations for duplicates. Below are reasons that a case will be marked as a possible duplicate.
If the case you are creating matches any case with the exact same first and last name
If any case you are creating matches a case with a death date in the last month also matches the list below:
Same first 2 letters of the first name and same first 3 letters of the last name (Mike Smith / Michael Smith)
Same first 2 letters of the first name and first 3 letters of last part of last name (Jay Gansen, Jay Van Gansen)
How do I avoid inviting duplicate helpers?
If you try to invite someone to a case who has already been invited on a previous case at your funeral home, we will automatically detect this and alert you as shown below.
When you invite a helper to a new case, they will be able to use the same login and password that they created previously and all of their information (such as their contact information, address, and profile photo) will be automatically used on the new case.
This creates a more seamless experience for the family member and it helps you to build a community of helpers over time. When the family member logs in, they will be able to easily navigate between all of their loved's Gather pages as shown below:
