How to Request Files from Families Using Tasks

A simple way to collect and organize family documents, while maintaining privacy.

Tasks help guide families through what you need from them. With file upload support, you can now request documents directly through tasks and keep everything organized in the case.

This article explains when to use file upload tasks, how to enable them, and how file visibility works.

When to Use File Upload Tasks

Use file upload tasks anytime you need a family member to share a document, such as:

  • A driver’s license

  • Insurance paperwork

  • A Social Security card

  • Any case-specific document

Files are uploaded directly to the task, so there is no need to request documents by email or separate uploads.

How to Enable File Uploads on a Task

You can enable file uploads when creating:

  • A one-off task on a case

  • A task in a workflow

  • A task created by a family member

When creating or editing a task:

  1. Enter the task name and details

  2. Turn on “Support file upload”

  3. Make sure “Make Task Visible to Family” is enabled if the family needs to upload the file

  4. Save the task

Once enabled, files can be uploaded directly within the task.

What Families See

Families will see an option to upload files directly on the task.

Families can:

  • Upload one or more files

  • Upload files without access to general case files

  • Multiple family members can upload files to the same task

File Security

To protect sensitive documents:

  • Only the uploader and the funeral home can view or download the file

  • Other family members will not see the file itself

Instead, they will see a message like:

“Bob uploaded one file.”

Families will NOT be able to see your general case files, uploaded by the funeral home or other family members. Families can only see the files they uploaded themselves.

What Funeral Home Staff See

When a file is uploaded:

  • It appears on the task

  • It also appears in case files

  • Staff can view, download, and delete the file

Managing Uploaded Files

Files can be deleted by:

  • The person who uploaded the file

  • Funeral home staff

Best Practices

  • Use clear task names and descriptions so families know what to upload

  • Enable file uploads only when documents are needed

  • Use task-level uploads for sensitive files instead of email
