Here are a few helpful hints and FAQs related to customizing your WorkFlows.


What if I need to change the WorkFlow after I've started a case?

We spent a lot of time thinking through that and we made it work exactly the way we think you would expect. Here are the details:

When switching between WorkFlows, a smart merge will be done between the current and the new WorkFlows. Any Tasks or Steps that are common between the two will be kept. Any Tasks or Steps in the new that aren’t in the old will be added. Any Tasks or Steps that are in the old, but not in the new, will be removed. This is only UNLESS an action has been completed on that Task or Step, in which case it will be kept in the new WorkFlow. All Task and Step notes will be maintained, as well as all completion details, in green.

Remember, if you adjust the WorkFlow on a case’s page, the edits will only be made on this case.


What if I need to adjust something on a WorkFlow per case?

Not every family is identical so we made it easy to make adjustments to the WorkFlow on a case-by-case basis. Simply click the “Bulk Edit” option and all the editable fields turn orange allowing you to adjust whatever you need, including the order of any pending Steps.


Can families see the name of the WorkFlow?

Nope, the name of WorkFlow is only visible internally to your team.

Families can, however, see individual Steps and Tasks if you want them to. We will talk more about the family’s view in a later section.


Can everyone on the team edit WorkFlows?

This can be configured per team member. With Gather, you have the ability to specify exactly what you want each person to have access to. We recommend that only one or a few have access to editing the backend of the WorkFlows, as this will prevent any accidental changes.


What permissions do team members have, and can this be individualized?

Yes, the owner or location leader has the ability to edit and personalize each team member’s permissions. This is where you can invite your removal staff and only permit them access to KeepTrack™ Steps. Your dedicated Account Manager can cover more about the backend of WorkFlows and staff permissions with the owner or location leader.


Can my team create our own WorkFlows?

Yes! You can start from scratch and add as many Steps and Tasks as you’d like! Some of the default Steps and Tasks do have coded actions or take you to a specific page. For example, the Obituary Task opens to the Obituary edit page. If you delete the Task and add a Task with different wording, the system doesn’t know to direct that Task to the page. Again, we’re here to help answer any WorkFlow questions or any questions in general!
