Catching Up on a Case with Gather's Activity Feed

Pick a case back up with the notes, tasks, signatures, payments and events on it, in one searchable feed you can filter.

Written by Luke Foreman

Picking a case back up after a shift change? The Activity Feed puts the notes, tasks, signatures, payments and events on that case in one searchable feed, for the categories you can open.

👀 What is the Activity Feed?

It is a pop-up over a case that lines up what has happened on it, oldest at the top and newest at the bottom: case notes with replies, task and step notes, and dozens of event types, from signatures received to payments made.

Who is this for? Your funeral home team in Director View (the staff view of a case), with the 'Can Access ACTIVITY FEED' permission (on by default). Family helpers can't open it, and it stays hidden if you flip to Family View.

Here is the top of a feed, with the category pills and the Search and Show only notes controls marked in blue, as shown below:

🚪 How do I open it?

1️⃣ The speed dial

On a case, click the round + button at the bottom right and choose 'View Activity Feed', as shown below. The 'View [Name]'s Notes' entry above it opens the feed with Show only notes on.

2️⃣ A case card's three-dot menu

On your DashBoard, click the three dots on a case card and choose 'Activity Feed', as shown below. WhiteBoard cards have the same item.

3️⃣ The keyboard shortcut

On a case page, press Command + Shift + F (Mac) or Ctrl + Shift + F (Windows). It sits out while your cursor is in a text box. If it does nothing, use the speed dial or a card's menu instead.

4️⃣ Other ways in

A few spots open the feed already narrowed:

  • 🤝 Hover over the Invite circle and choose 'View Activity Feed' to see Helpers only.

  • 💲 A statement's three-dot menu and each payment's three-dot menu: 'Activity Feed' shows Goods & Services only.

  • ✍️ The Packets and Case Files pop-up: the history link at the bottom shows AutoForms only, and a packet's ID or three-dot menu ('View Activity Feed') narrows to that packet.

  • 💬 Note-count bubbles and 'View Notes' items: they open the feed with Show only notes on. See note counts and the Notes table.

🗂️ What shows up in the feed?

Nine category pills sort the feed. The number on each is how many entries it holds on this case:

  • 📁 Case: case created, plus changes to its type, number, workflow and assignee.

  • 📲 KeepTrack: steps completed or skipped, and movements.

  • 💬 Case Notes: notes and replies. See mentions, replies and formatting.

  • ✅ Tasks: task activity, including task notes.

  • ✍️ AutoForms: signature packets and case files.

  • 💲 Goods & Services: payments, refunds and statement freezes.

  • 📅 Events: scheduled events.

  • 🤝 Helpers: helpers invited, added and accepted.

  • 🕊️ Remember: memories, guest sign-ups, purchases, photos and obituary updates.

Notes appear as speech bubbles with replies underneath, and a note box at the end lets you add a case note. The blue arrow points to the green pill at the bottom:

🔄 The feed is a snapshot: it loads when you open it. Click the green pill to refresh and pull in anything new. With a filter on, the pill turns orange and says 'Show all' instead.

🔍 How do I filter and search it?

At the top of the feed:

  • 🏷️ Category pills: click one to switch that category off (it goes hollow with a dashed outline) and again to bring it back. A faded pill with no number has no entries yet. The Clear All / Add All button switches them all off or on.

  • 🔎 Search: click the Search pill and type. It covers people, actions, note text (including who wrote a note) and details, and turns the pills back on so a match is not hidden.

  • 📝 Show only notes: keeps case notes and replies, task notes, and notes added when you complete, skip or move a KeepTrack step. See task notes and KeepTrack step notes.

📤 Need it on paper or in a spreadsheet? The three-dot menu next to Search has Print and Download. See How to Print or Download the Activity Feed.

Following one signature packet? Its row ends the 'Type:' line with a blue (ID: N), as shown below:

Click it and the feed narrows to that packet: the Search pill fills in with the ID and the pill at the bottom reads 'Showing N of M activities'. Click 'Show all' to see the full feed again:

🔒 Why is a category locked for me?

Because your account is missing a permission that category needs. A locked pill stays visible but disabled, with a lock and no number. Hover over it for a moment: the tooltip names the permission and says to ask a funeral home admin.

Take Goods & Services: it needs both Can view CASE FINANCIAL DATA and CASE (FINANCIAL). CASE (FINANCIAL) sits in the Security tab's DATA SOURCES list, which shows for homes with Gather Analytics.

Admins: on the My Team page, click a team member's photo, choose 'Edit [Name]'s Details', then open the Security tab, as shown below:

'Can Access ACTIVITY FEED' turns the feed on or off for that person, as shown below. Without it, they see a message that the Activity Feed is turned off for them, and the note-count numbers disappear.

❓ Other FAQs

Why can't I see the oldest activity on a busy case?

Because the feed holds the 1,000 most recent events (notes aren't counted). With no filters on, the bottom pill reads 'Showing the most recent N activities' when that applies.

What does the ? on a row mean?

That entry comes with a caveat, for example that it shows only a task's most recent completion. Hover over the ? to read it.

Can I search by date or time?

Nope. Search covers people, actions, note text and details, but not the date and time on each entry.

Why did the keyboard shortcut do nothing?

It sits out while your cursor is in a text box and on the Remember and obituary pages. The speed dial or a case card's menu opens the feed instead.

Does turning off the permission hide notes in other places too?

Nope. It turns off the feed and the note-count numbers. Notes on task cards stay visible to staff.
