How to Print or Download the Activity Feed

Take a case's Activity Feed with you as a spreadsheet-friendly file or a day-by-day printout, narrowed by your filters and search.

Written by Jacob Magness

Handing a case to the next shift, or pulling together a file for your next team meeting? Download the Activity Feed as a spreadsheet or print it, right from the feed.

📤 What can I print or download?

Two options sit in the three-dot Case actions menu at the top of a case's Activity Feed. (New to the feed? Start with the Activity Feed article.)

  • ⬇️ Download Activity Feed: a spreadsheet-friendly CSV file to sort and search your way.

  • 🖨️ Print Activity Feed: a compact, day-by-day printout for your file or your next team meeting.

Both export the rows your feed is showing right now, after your category pills, search and Show only notes. Each reply, and each note added while completing or skipping a task, gets its own line.

Find the three-dot icon at the top of the feed, on the right beside the case name. On a desktop screen it sits just right of the Search pill, as shown below. The number in each label is how many activities your feed is showing: 19 here, with the Helpers pill switched off.

The same menu also holds Archive Case, Mark As Test and Delete Case, so read the label before you click.

✂️ How do I narrow the feed before I export?

The export follows the feed, so shape the feed first. Three controls do the work:

  • 🔘 Category pills: click a pill to switch that category off, and click it again to bring it back.

  • 🔍 Search: type to keep only matching entries. A search turns every pill back on, so it looks across all the categories open to you.

  • 📝 Show only notes: switch it on to keep only the entries that hold notes.

Need just one signature packet? The Activity Feed article shows how to narrow the feed to it, and the export follows.

On a very busy case the feed holds only its most recent events, and an export holds the same. With no filters on, the pill at the bottom of the feed tells you when that applies.

🔒 Categories that show a lock for you are not exported, so two teammates can export different content from the same case.

⬇️ How do I download a spreadsheet file?

1️⃣ Choose Download Activity Feed

Open the three-dot Case actions menu and choose Download Activity Feed (N Activities). Your browser downloads a spreadsheet file (a CSV) named for the case and the date, for example margaret-ellison-activity-2026-10-12.csv.

2️⃣ Open it in your spreadsheet app

Each entry in the feed becomes a row. The file has 14 columns, and the screenshot below shows a few: the blue boxes mark the local time and Critical columns, and the arrow points to a reply.

🖨️ How do I print the Activity Feed?

1️⃣ Choose Print Activity Feed

Open the three-dot Case actions menu and choose Print Activity Feed (N Activities). Your browser's print window opens with a compact layout grouped by day, oldest first.

2️⃣ Check page one, then print

The header names the case, the filters you used and the time zone, as shown below. The box marks it, the left arrow points to a day heading, and the right arrows point to a reply and a Critical note with its red tag.

🖨️ Print opens your browser's print window. Gather doesn't make a PDF of the feed for you, so choose Save as PDF there if your browser offers it.

🔐 Who should see what I export?

Your team. Download and Print are staff tools. The Activity Feed is for funeral home team members in Director View, and it stays hidden when a staff member switches to Family View. Family helpers can't open it. Team members who can open a case's Activity Feed get both options, with no separate permission.

🚫 Staff eyes only. An export holds what your feed shows you, including staff-only case notes, KeepTrack step notes, Critical flags and a Visible to Family column, and there is no family-safe version. Check an export before it goes to anyone outside your team.

❓ Other FAQs

Why does the file have more lines than the number in the menu?

Because each reply, and each note added while completing or skipping a task, gets its own line. When the two numbers differ, the printout header reads something like 19 activities (23 lines).

Which time zone do the times use?

Your funeral home's time zone. The spreadsheet also includes a UTC column.

Does my formatting carry over?

Nope. Notes export as plain text, so bold, italic, underline and strikethrough are dropped. @mentions stay as @Full Name.
