Turn Notes Into Conversations with @Mentions, Replies and Formatting

Tag a teammate so Gather emails them your note, reply right under it, and make the important part bold.

Written by Paul Price

Move the visitation to 2 PM? Tag the person who needs to know, answer a note right under the one it's about, and make the important part bold. It all happens right in the note box.

How to @mention a Teammate in Gather:

Type @, pick a name, and Gather emails that person your note when you save it.

1) Open a Note Box

On a case, open the speed-dial menu at the bottom right and choose Add a Case Note, as shown below. On a task, click + Task Note on an open task in Director View, the staff view of the case (task notes have their own guide).

2) Type @ and Select The Name of your Teammate

Type @ at the start of a line or after a space, or click the @ button in the toolbar. Type a few letters to narrow the list, then click a name (or use the arrow keys and press Enter or Tab). As staff, you will see the email each mention will go to under the name, as shown below.

3) Save The New Case Note

Finish your note and click Save Case Note. On a task, click Add Note in the window that opens. Gather sends an email to each person you tagged with your note.

Important Tip: Be sure to select the name from the list. A name typed by hand can look highlighted once the note is saved, but it sends nothing.

Who Can Be Tagged in a New @mention in Gather?

Who shows up in the list depends on the note you are writing:

  • Teammates Who Can See the Case: A teammate limited to the cases they are assigned to or watching shows up on those cases.

  • Family Admins: On tasks visible to the family; as a case note, the list shows only your team.

  • Family Guests: On a task visible to the family that is assigned to them or to all invited family helpers.

  • Visitors who signed in on the Remember page can't be tagged.

On a task note the family can see, the list adds the Family Admins and Family Guests sections, and a hint under the task's note box says who can read it, as shown below.

Greyed-out names can't be picked yet, and the reason shows under the name, as shown below. For a teammate with no email, click the row to open their settings and add one.

Who Can Read Case Notes: Case notes and KeepTrack step notes are only ever seen by your team. A task note on a task that is visible to the family can be read by the family helpers who can see that task, so keep it professional. The hint under a task's note box and the eye icon beside a saved note indicate to staff what kind they are.

How to Reply to a Note You Were Tagged In

Answer a note right under it, so the conversation stays together.

  • Find the note in the Activity Feed or on a task card.

  • Click the pill under it. At first it reads "Reply to" and the author's first name, then "Reply to this thread" once there are replies.

  • Type your reply and click Reply. Cmd+Enter (Ctrl+Enter on Windows) works too, and the X cancels.

Replies sit inset under the note they answer, in the order they were written, as shown below.

In your reply box, you'll have several formatting options available to you, as well as the option to tag a teammate directly in the next note you leave:

  • Bold specific details in your case note.

  • Italicize specific details in your case note.

  • Underline specific details in your case note.

  • Strikethrough specific details in your case note.

  • @mention a teammate in your response to a case note.

A reply emails the author of the note you are answering, unless that is you. To email someone else, @mention them in the reply, as shown below.

Smart Notifications For @mentions: Nobody receives an email notification for a mention or reply unless someone @mentions them or replies to their note. Tagging someone sends one email for that note, and editing a note emails only the people you newly add. Read How @Mention and Reply Emails Work in Gather for what the email looks like and why one might not go out.

Two limits: a reply can't be marked Critical (more on Critical notes), and Reply is greyed out on KeepTrack step notes, which lock once the step is complete. Continue those in a case note (more on step notes).

How Do I Format a Case Note?

The toolbar in the note box has B for bold, I for italic, U for underline, and S for strikethrough. Below is a saved note that uses all four, with two tagged names.

Prefer the keyboard? Here are the 4 keybord shortcuts to memorize in Gather:

  • Bold: Command + B (Ctrl + B on Windows)

  • Italicize: Command + I (Ctrl + I on Windows)

  • Underline: Command + U (Ctrl + U on Windows)

  • Strikethrough: Command + Shift + X (Ctrl + Shift + X on Windows)

  • Save Your Note: Command + Enter (Ctrl + Enter on Windows)

Formatting shows in the Activity Feed and on task cards. Reports and the Activity Feed's print and download show the text without it.

Other FAQs About @mentions

Below are answers to frequently asked questions about @mentions:

Is there a limit on how many people I can tag?

Yes! You can tag up to 50 people in one note.

Can family helpers tag people too?

Yes, they can write in the task notes. They can tag the case's assigned funeral director, Family Admins and Family Guests (a Guest only on a task assigned to that Guest or to All Helpers), and reply to and format those notes too.

Can I reply to another reply?

No. Replies are one level deep and stack under the original note.

Can I delete a note that has replies?

Not until its replies are gone. Delete stays greyed out in the note's three-dot menu and explains why when you hover over it, so delete the replies first.

Can I format the @mention itself?

No. In the Activity Feed and on task cards, tagged names show in bold in your funeral home's color, and the four styles apply to the rest of your text.
