Gather Analytics it equipped with Grouping and Aggregation. Both are powerful tools that help you organize and summarize data within your reports.

Grouping organizes rows by shared values in a selected column, allowing you to easily view related data together. For example, you can group cases by “Case Status” to see all active, completed, or pending cases in distinct sections.

Aggregation calculates summary values within each group, such as totals, averages, or counts. This feature is ideal for quickly performing math operations, like summing outstanding balances across cases or finding the average number of aging days.

Using Grouping and Aggregation together, you can create organized, high-level views that provide quick insights without needing to sort or calculate values manually.


Grouping Data

Grouping data allows you to organize rows based on shared values in a selected column, making it easier to see related data together. For example, you can group by “Case Type” to keep all cases of a similar type together, making comparisons and analysis quicker.

Steps to Group Data:

  1. Choose a Column to Group by In your report, find the column you’d like to group data by (e.g., "Case Type" or "Case Assignee").

  2. Activate Grouping by clicking the three dots on the column header and select Group by.

  3. View and Manage Grouped Rows:

    1. Once grouping is applied, you’ll notice that rows sharing the same value are collapsed into a single row that you can expand or collapse as needed.

    2. Use the arrows beside each group to expand or collapse the grouped rows, allowing you to control the level of detail visible.

Example Use Cases for Grouping:

  • Group by "Case Assignee" to review the workload of each team member quickly.

  • Group by "Case Status" to instantly check which cases are active, completed, or on hold.

Pro Tip: You can group by multiple columns at once (e.g., grouping by "Case Status" and then by "Case Assignee") to further organize your data. Simply repeat the grouping steps with additional columns.


Aggregating Data

Aggregation provides summary data within your report, allowing you to calculate totals, averages, and other summaries on numeric columns. Aggregation can be applied to both grouped and non-grouped columns, as long as the column contains numerical values (e.g., currency or counts). This is especially helpful for quickly viewing information like total outstanding balances or average case aging days without manually calculating each value.

Steps to Aggregate Data:

  1. Enable Aggregation: Right-click on any numeric column (e.g., “Case Value Collected” or “Aging Days”) where you’d like to see an aggregated summary.

  2. Select an Aggregation Function: Choose from commonly available aggregation functions, including:

    • Sum: Adds up all values (e.g., total revenue collected for cases).

    • Average: Calculates the average value (e.g., average “Aging Days” for cases).

    • Min/Max: Finds the minimum or maximum value (e.g., the minimum days until case completion).

  3. View Aggregated Data: Aggregated results will appear at either the group or report level, providing quick summaries without additional calculations.

Example Use Cases for Aggregation:

  • Calculate the total "Case Value Collected" within each assignee’s group to see their total contributions.

  • Get the average "Aging Days" for cases grouped by “Case Type” to understand which types are typically resolved faster.

Note: You can apply different aggregation functions to different columns at the same time. For example, use a Sum function on “Case Value Collected” and an Average function on “Aging Days” in the same grouped data.


Frequently Asked Questions (FAQs)

Can I group by multiple columns?

Yes, you can! Just drag multiple columns into the Row Grouping Panel, and the report will create nested groupings. For instance, if you group first by "Case Status" and then by "Case Assignee," you’ll see groups sorted by status, with each status group further organized by assignee.

Can I apply different aggregation functions to different columns simultaneously?

Absolutely. Each numeric column can have its own aggregation function. For example, you can use Sum for “Case Value Collected” and Average for “Aging Days” to see both totals and averages in the same view.

How do I remove grouping or aggregation if I don’t need it anymore?

To remove grouping, click the “X” next to the column name in the Row Grouping Panel, or right-click the grouped column and select Ungroup. For aggregation, right-click on the column, and select Clear Aggregation to remove it.

Why don’t I see the Row Grouping or Aggregation options?

These options are typically available only on certain columns or may require permissions based on your report ettings. If these features aren’t available, check with your admin or refer to your software’s user permissions settings.

Can I export my grouped and aggregated data?

Yes, you can export the current report view, including all grouping and aggregation settings. This allows you to save reports with the summary data you’ve created.
