Gather Pay: Getting Started

Create a case's payer card to receive payment from families

Once your family contract is finalized, printed out, and signed, you are now ready to start collecting payments from family members in charge of signing and paying for the services. We have built a separate feature to allow you to capture payments quickly and simply, and allow you to keep track and document payments collected. That information will automatically flow into your Accounting tab where we build your personal business reports. You will never have to search or question transactions and payment activity ever again, everything you need to know will be securely and easily kept in one place - Gather Pay.

Getting Started

  1. When viewing your contract page, click on the "Payment" tab on the right hand side. This will take you directly into the Gather Pay feature.

  2. There are two sections on this page: on the left hand side will be an overview of the payment activity and on the right hand side is where you start adding your payers.

  3. At the top of the payment summary you see the total, the amount collected in payments, and the amount still owed. Next to that there is a percentage of how much was collected on that total so far. Below that is a breakdown of all the payments and who made them, and all the activity involved with those transactions. You may click on the three dot menu on the right hand side of "Contract" here, and that will display an option to go back to view the contract or print it out directly from this page. You may also go back to the contract by clicking on the back arrow in the top left corner of this page.

4. On the bottom of that summary window is a button that states "Record A Charge". This is a place where you can add a last minute charge to the total owed, without having to go back and add it on the contract.

5. Moving on to the payers section, you will select how many payers you will need to add on this contract. If you select more than one, automatically you will get an option of how those payments will be split: equally or a custom split. Depending on your selection, the payer cards will be created accordingly (Note: If you need to add more than 8 payers, you'll select 8 and then be able to add additional payers one by one).

6. Once you have selected how the bill will be split, the payer cards are populated immediately and you may start selecting/inviting your payers and adding their payments here. If you end up adding a payer and are no longer required to add payment for them, you may simply click on "Remove this payer" to remove their pay card.

7. In most cases, the family helpers on this case will already exist on the list of payers for you to choose from when you click on "Click to select who will pay...". If they have not been helping on the case up to this point, you will have the option to "+ Invite New Helper". This will bring up the same invite window that you use when inviting family and clergy helpers on your cases (Note: This will automatically give them access to this specific case page).

8. If you run into a rare case of needing to invite someone to help with payments, and not allow them to see any case information at all, you will have the option to add them to the payments page without phone number or email address. This option is not recommended per the FTC suggestions, but is there when an occasion arises where this is the only option. In order to invite someone this way, simply click on the text that states "+ Add payer without email or mobile number (not recommended per FTC suggestions). A new window will come up and walk you through the steps of how to invite someone this way.


9. Now that we have selected our number of payers, have chosen how they plan to split the bill, and who they are - you're ready to select between the two payment formats. The two payment categories: in-person and remotely. The other articles in this collection walks you through each payment format and type.

Once you are done collecting all payments and making necessary edits, your payment summary menu should show you "100%" collected on the Payment page and on the Dashboard. You can review this information under "My Reports" too.
