The Invoice Line Items data source in Gather Analytics offers comprehensive details on individual line items added to statements within your funeral home. This data source provides an in-depth overview of the products and services being sold, their frequency, and their contribution to your revenue, making it essential for tracking sales, managing inventory, and assessing financial performance.
What is included on the Invoice Line Items Data Source?
Each row in the Invoice Line Items data source represents a single line item from any case statement created within the selected time frame, regardless of whether the statement is frozen, unfrozen, paid, or unpaid.

To view only Invoice Line Items from frozen statements, apply a filter for "Statement Status" set to "Frozen".
Column Definitions for the Invoice Line Items Data Source
Funeral Home: The funeral home location in Gather to which this case currently belongs.
Case Name: The name of the decedent as specified in the Death Certificate. Legal First Name + Legal Last Name. Clicking the name will link to the Organize page. [DC Section = ABOUT]
Line Item Name: The name of the line item as currently shown on the statement AFTER any edits to the name. To see the original name before any edits, use the Line Item Name (Original) value. See the Line Item Type field for a list of all possible Line Items.
Line Item Type: Includes the following categories: Statement Product (meaning the product was added to the Statement), Statement Discount, Statement Premium, Outside Product (meaning the product was added outside of the Statement), Convenience Fee, Package Discount, and Package Premium. These seven categories make up the Case Value which is used on the DashBoard case card and DashBoard monthly rollup.
Line Item Action: Whether or not this line item was added or removed. Removed items only show if the line item was part of a locked invoice and was subsequently removed as part of a new open invoice. In other words, line items added and removed within the same open invoice will not be tracked, unless they were already part of an existing locked invoice.
Line Item Subtotal: The initial amount of the line item on the Statement BEFORE any Line Item Adjustments or Line Item Tax Amounts.
Line Item Adjustments: The discount or premium that is currently applied to the line item on the Statement. Negative values are discounts. Positive values are premiums. Price adjustments made to Line items with a Line Item Pricing Model of Manual Price will NOT be shown here.
Line Item Tax Amount: The tax that is calculated on the individual line item. Line Item Adjustments are included when calculating this value.
Line Item Total: The amount currently shown on the Statement for this line item AFTER any Line Item Adjustments and Line Item Tax Amounts have been included. Line Item Subtotal + Line Item Adjustment + Line Item Tax Amount = Line Item Total. This is the amount shown on the Statement for the product.
Line Item Quantity: For Variable and Base + Variable priced items, this field represents the number of items currently added to the Statement. For example, if a Hearse has a per mileage charge, this field represents the number of miles. For Manual, Fixed, Allowance, and One-Time items, this value is always equal to one. This value is NOT affected by Line Item Adjustments.
Line Item Units: For Variable and Base + Variable priced items, this field represents the unit of measure of the Line Item Quantity field. For example: Miles, Hours, etc.
Line Item Created On: The date the line item was first added. What about removed line items in subsequent invoices?
Line Item Updated On: The date and time the line item was most recently updated on the case. This will be the same as the Line Item Created On field if nothing has been changed. Actions that will update this value include: adding or editing a product note, adjusting the Line Item Quantity, changing the price, adding or editing a line item discount or premium. If a line item is removed from an open statement, it will no longer show in this report.
Statement Created On: The date and time the Statement of Funeral Goods and Services was created. This happens when the Statement was first viewed by someone and not when the first line item was added nor when the case was first created.
Line Item Category: The product category to which this line item belongs. Includes: Care of Loved One, Transportation, Use of Facilities, Casket, Urn, Vault, Cemetery, Memorial, Flowers, Cash Advance.
Line Item Grouping: Professional Services, Merchandise, Cash Advance. The 10 Line Item Categories fit into these 3 Line Item Groupings as follows: Professional Services (Care of Loved One, Transportation, Use of Facilities), Merchandise (Casket, Urn, Vault, Cemetery, Memorial, Flowers), Cash Advance (Cash Advance).
Statement Taxation Method: The method of taxation used for the Statement to which this line item belongs. Includes: Tax-Exempt (no tax calculated), Statement-Level (single rate used for entire statement value), and Item-Level (per line item tax based on default product configurations). If Item-Level is selected, then the Line Item Tax Rate will be used if the line item was configured to be taxable (see Is Line Item Taxable).
Is Line Item Taxable: Indicates if the taxable toggle was enabled when the product was first configured in Gather. This toggle indicates that the Line Item Tax Rate will be used to tax the line item IF the Statement Taxation Method is set to Item-Level. If the Statement Taxation Method is set to Tax-Exempt or Statement-Level, the line item tax settings will be ignored.
Line Item Package Tax Adjustments: When a taxable line item is included in a package that has a discount or premium, a proportional adjustment is made to the line item to arrive at the taxable amount for said line item. If a package has a 10% discount applied, each item in the package will receive a the same 10% discount when applying the tax.
Line Item Taxable Amount: The amount that is used to to calculate the tax for this line item. Line Item Taxable Amount (this field) = Line Item Subtotal + Line Item Adjustments + Line Item Package Tax Adjustments. This is the field that is generally reported to the IRS for taxable amount. Additionally: Line Item Taxable Amount (this field) * Line Item Tax Rate = Line Item Tax Amount.
Line Item Tax Rate: The tax rate used to calculate the Line Item Tax, which pulls from the tax rate description when your tax rates were first configured in Gather.
Line Item Package: If the line item was part of a package, the package name will be displayed here. Items not included in a package will be listed here as "Not part of a package". Note that each package may create a new line item with a Line Item Type of Package Discount or Package Premium. A package within a package will be displayed in the Line Item Sub-Package field.
Line Item Sub-Package: If your top-level package is configured to contain another category-level package (package in a package), the category-level package will display here.
Invoice Name: A statement can have mulitple invoices. Each will be called "Statement Invoice 1", "Statement Invoice 2", etc. and each invoice is created at the time that the Statement is frozen. Another invoice is always created for all of the items added outside of the invoice. There is no freezing on items added outside of the Statement, meaning each will be perpetually added to a single "Outside of Statement Invoice".
Invoice ID: A unique system-generated ID number that is attached to each invoice. Can't be edited.
Accessing the Invoice Line Items Data Source
As with all data sources in Gather Analytics, access to the Invoice Line Items data source can be managed by your funeral home admin:
Individual Access: Admins can grant or restrict access to the Invoice Line Items data source based on employee roles and responsibilities, ensuring that only relevant team members can view detailed sales data.

Since the Invoice Line Items data source can contain sensitive information about your business' finances and performance, pay special attention to the users you grant access to this data source.
Location-Specific Access: For funeral homes with multiple locations, admins can manage access per location. For example, an employee may have access to Invoice Line Items data at Location A but not Location B, aligning data access with job duties and privacy requirements.
Admin Privileges: Admins automatically have access to the Invoice Line Items data source within the locations they oversee, providing them with full visibility into sales transactions.
These access controls help maintain data privacy and ensure that only authorized team members can view or analyze detailed sales data.
