The Helpers data source in Gather Analytics provides valuable insight into the family and friends invited to assist with their loved one's case. Each row in the Helpers data source represents one invited helper.
This source includes detailed information about helpers like relationship to the decedent and contact information all while associating it to the case. This data source is essential for improving communication and ensuring that everyone stays informed about their role in supporting the case.
Who is listed on the Helpers Data Source?
In Gather we classify the family and friends invited to help with the case as "Helpers", regardless if they are invited as an admin or a guest. These invited helpers are the only individuals recorded on the Helpers's data source. Each row represents a single helper, providing a clear view of their role, status, and information.

Individuals who contribute to the decedent's Remember Page without being invited to Gather by your funeral home are called Visitors. Visitors are not included in the Helper's Data Source. This way, you can ensure the data you receive in this data source is just the decedents' family and friends who your Funeral Home has served and has an established relationship with.
Column Definitions for the Helpers Data Source
Funeral Home: The funeral home location in Gather to which this case currently belongs.
Case Type: The currently applied Case Type: At-Need, Pre-Need, Trade, One-Off. Case Types can be adjusted over the lifespan of a case.
Helper Name: Helpers are invited family members. If a single helper is invited to multiple cases within your funeral home, they will appear in this report multiple times. First Name + Middle Name + Last Name.
Helper Relationship: The helper's relationship to the decedent. Family, Friend, School, Work, Church, Other. If they specify a more specific relationship beyond these 6 main categories, that relationship will be listed here.
Helper Type: An ADMIN is a trusted friend or family who can help manage a profile-- they can see all family tasks. A GUEST is anyone who knew or wants to remember the decedent-- they can see only assigned family tasks.
Helper Invited On: The date the Helper was invited to this particular case. Field will be blank if they were not invited.
Helper Mobile Number: The helper's mobile phone number. This is what they use to login. The Helper Email and/or Helper Phone Number are used to log in to Gather and to link together the same helper across multiple cases.
Helper Email: The helper's email. This is what they use to login. The Helper Email and/or Helper Phone Number are used to log in to Gather and to link together the same helper across multiple cases.
Helper Full Address: The full address provided for the helper. This will show either the address found via Google Maps or the address as it was entered manually. There are fields for the individual address components.
Helper Address 1: The first address line of the helper's location. Use the Helper Full Address for the address on a single line.
Helper Address 2: The second address line of the helper's location. Use the Helper Full Address for the address on a single line.
Helper City: The city name as found via Google Maps or the city name that was entered manually. Use the Helper Full Address for the address on a single line.
Helper State: The city state as found via Google Maps or the city state that was entered manually. Use the Helper Full Address for the address on a single line.
Helper Zip: The zipcode as found via Google Maps or the zipcode that was entered manually. Use the Helper Full Address for the address on a single line.
Is Invited to Gather: Specifies if the helper has been invited to Gather. Does not factor in whether or not they have created their Gather account. Use the Helper Invited On field to find the date they were invited.
Has Created Account: Specifies if the helper has accepted their invitation to Gather by clicking the link and creating a password.
Case Name: The name of the decedent as specified in the Death Certificate. Legal First Name + Legal Last Name. Clicking the name will link to the Organize page. [DC Section = ABOUT]
Case Assignee: The currently assigned team member on this case.
Case Labels: Labels are a helpful way to categorize cases across multiple dimensions. Each applied label will display here.
Case Created On: The date the case was first created in Gather UNLESS the Case Type has been converted to a new Case Type (e.g., Pre-Need to At-Need) then the most recent conversion date is used instead. This field includes the time if available, which is visible on hover and in the download. Timezone is driven by the funeral home location timezone.
Case WorkFlow: Custom WorkFlows allow you to change the way Gather works to fit the way you work so that you can focus more on what matters most. This field represents the currently applied WorkFlow.
Case Watcher: One or more individuals can be added as a watcher, allowing them to emulate the case assignee.
Case Death Date: Safest way to filter by date of death. If no death date, the date the case was first created in Gather is used. If no death date AND the Case Type has been converted to a new Case Type (e.g., Pre-Need to At-Need) then the most recent conversion date is used instead. NOTE: If a range is used for an unknown death date, this field will use the earliest date of the range.
KeepTrack #: The unique, 7-digit code assigned to a case when KeepTrack™ is initialized on a case to help maintain an accurate chain of custody. Cannot be changed.
Case Number: The unique case identifier assigned to the case. Can be adjusted.
Report Examples: Using Helpers Data
The Helpers data source offers a variety of reporting options that can help funeral homes manage cases more effectively and ensure seamless collaboration. Here are some example reports you can create with Helpers data:
Yearly Informant Report: Generate a report that shows all informants you have helped over the last year.
Family Contact Information Report: Generate a report containing the contact information for all family helpers you have served at your funeral home.
Holiday Ornament Report: Generate a report containing the decedent name, informant name and informant address of all informants you have served over the year in order to send memorial holiday ornaments.
Accessing the Helpers Data Source
As with all data sources in Gather Analytics, access to the Helpers data source can be managed by your funeral home admin:
Individual Access: Admins can grant or restrict access to the Helpers data source based on employee roles and responsibilities.
Location-Specific Access: For funeral homes with multiple locations, admins can manage access per location. For example, an employee may have access to Helpers data at Location A but not Location B, ensuring that data access is aligned with specific job duties and privacy needs.
Admin Privileges: Admins automatically have access to the Helpers data source within the locations they oversee, ensuring they have full visibility into family participation and helper involvement.
These access controls help maintain data security and ensure that only authorized team members can view sensitive family information.
